NGM College’s journey began modestly as a Pre-University college on July 12th, 1957. Over the past six decades, it has undergone a significant transformation, evolving into a leading post-graduate teaching and research institution in Tamil Nadu. This remarkable growth culminated in the college achieving the prestigious Autonomous status in 1987, a testament to its commitment to academic excellence and self-governance. The college is a co-educational institution, proudly holding ISO 9001-2015 certification, and is recognized by both the University Grants Commission (UGC) and the All India Council for Technical Education (AICTE). It maintains its affiliation with Bharathiar University, Coimbatore, further solidifying its academic standing. Recognizing its quality and commitment to standards, the National Assessment and Accreditation Council (NAAC) accredited NGM College with an ‘A’ Grade in 2007. This recognition was reaffirmed in 2013 when the college secured an ‘A’ Grade in its Second Cycle of NAAC Accreditation, placing it among the top performing educational institutions in the state. Notably, in 2007, NGM College was among only seven institutions in Tamil Nadu that achieved this coveted ‘A’ Grade status.
Autonomy and the Need for a Dedicated Examination System
The granting of autonomous status marked a crucial turning point for NGM College. This autonomy brought with it increased responsibility and the need for the institution to take on many of the functions traditionally performed by a typical university. Among these responsibilities was the need for a fully developed and independent examination system. As a result, several key academic bodies were established to oversee specific functions. One of the most critical of these was the establishment of the Office of the Controller of Examinations (COE). A dedicated Examination Office, under the direct control of a Controller of Examinations, was formed to meticulously manage all aspects of the examination process. This move signified the college’s commitment to ensuring fair, transparent, and efficient examinations, an essential aspect of maintaining and enhancing its academic standards.
The Examination Office: Structure, Personnel, and Infrastructure
The Examination Office is a well-structured and adequately equipped department designed to manage the intricacies of the college’s examination system. It is comprised of a dedicated team of personnel, including the Controller of Examinations, who heads the office, and a Deputy Controller of Examinations, who assists in managing the daily operations. The operational side is managed by an Office Superintendent, ensuring smooth administrative functioning. The department also includes a technical team consisting of a Software Developer and a Programme Analyst. They are responsible for ensuring the seamless operation of the examination management software and related technologies. Supporting the administrative and technical roles are seven Clerk-cum-Computer Operators who handle the day-to-day processing tasks, and one Office Assistant who helps with general office duties. This dedicated team is housed in a centrally located building on the college campus, providing easy access and logistical efficiency for faculty and students.
The Examination Office is equipped with the necessary technology and equipment to fulfill its responsibilities effectively and efficiently. This includes a high-performance IBM Server that serves as the backbone for the entire examination management system. An ultra-fast line printer is employed for printing large volumes of examination related materials, while an Epson Scanner facilitates the digitization of documents. The office also boasts a fleet of 15 computers for various processing and administrative tasks, two Digital Copy Printers for high volume reproduction, a Copier Machine for document duplication, and two intercom phone lines to facilitate internal communication within the office and college. In addition, the office maintains a separate Landline Phone for external communication, ensuring that it is easily accessible to faculty, staff, and stakeholders for any examination related queries and assistance. This combination of dedicated personnel and modern technology ensures that the Examination Office is well-equipped to handle the complexities of managing a large and comprehensive examination system.
